    Faculty and student orientation

    Welcome to University of Mississippi Medical Center. We are pleased that you will be joining us as you meet the requirements for your program of study.

    Forward any questions about this process to the Office of Community Education.

    Affiliated Students

    In preparation for affiliated learning experiences at UMMC, affiliated students must complete the following:

    • Once you receive your UMMC login and password information, you must change the assigned temporary password using webmail.umc.edu before attempting to access any UMMC applications.
    • Read the following mandatory document: Orientation
    • Complete Compliance Training
    • Review our Affiliated Student On-boarding Checklist
    • Review our Parking Policy, and be advised that students and non-UMMC faculty are asked to park in the Stadium parking lot that is located across State Street from the hospital. Parking in undesignated areas may result in the owner's vehicle being ticketed or towed at the owner's expense.

    To verify completion of this orientation, please do the following:

    1. Please locate your discipline on the right side of the page and follow the link.
    2. Fill out all the required information.
    3. Submit the form. A copy of this form will be emailed to your UMMC Affiliated Student Coordinator.

    Affiliated Programs

    UMMC requires data on each individual who will be engaging in learning experiences at the UMMC Jackson, Grenada, or Lexington locations.

    The School Program Coordinator should do the following at least 4 weeks prior to the start of the learning experience:

    • Review the Affiliated Student On-Boarding Checklist, ensure that affiliated students meet all requirements, and submit the necessary documentation.
    • Download and complete the blue section only of the Affiliated Student Spreadsheet. Note: You may include multiple students on one spreadsheet.
    • Complete the form located here and attach the completed Affiliated Student Spreadsheet.
    • Once the Affiliated Student Spreadsheet is received, the UMMC Affiliated Student Coordinator will complete the green section of the spreadsheet and launch the internal process.
    • After the internal process is launched and an active directory account is created, the affiliated school program coordinator will receive an email with UMMC's network login information for the affiliated students. The affiliated school program coordinator are expected to share login information with the individual affiliated students.

    Please note that students' access will expire based on the end date identified on the spreadsheet. A new spreadsheet must be complete for each returning student.

    Epic Training (UMMC's Electronic Health Record) 

    UMMC has adopted a "train the trainer" approach for affiliated students and respective faculty/instructors. For faculty/instructors associated with affiliate students who are new to Epic training at UMMC, we will assign them a Canvas course and provide in-class training with one of the Epic trainers. Please note that this is only for new faculty/instructors who have not had exposure to Epic and will need more than the basics to oversee their students.

    Affiliated students who require Epic access will be required to take a Canvas E-learning course for Epic security access.  Epic trainers will email the affiliated faculty/instructor to provide information regarding the online course.  The Canvas course is taken at the affiliated site, not UMMC.  There are a few roles within UMMC that are trained in the classroom setting, we will contact the faculty/instructor by email or phone with details of the date and class time.  Faculty can reach an Epic training representative at  EPICStudentTraining@umc.edu.

    Nursing Affiliated Programs

    In addition to all requirements noted above, nursing affiliated programs must also return the following form no later than 2 weeks prior to the beginning of clinical rotation: Orientation Acknowledgement Form. Please submit to the UMMC Affiliated Student Coordinator for your discipline.

    Flu Vaccination Requirement

    The University of Mississippi Medical Center has established a mandatory flu vaccine program effective October 1, 2014. It is the responsibility of outside institutions to assure vaccination of their students and faculty participating in activities on UMMC campuses prior to beginning assignments during influenza season. Acknowledgement of vaccination or declination for religious or medical reasons will be ascertained through UMMC’s Affiliated Student Process. Failure to comply with this policy will result in banning of the non-UMMC student(s) and faculty from all UMMC campuses during the influenza season.
