  • Agency Contracts

    Agency contracts are agreements between UMMC and a vendor, wherein UMMC purchases specific products from the supplier for a specified period of time and, in most cases, at firm pricing. Agency contracts are established on the basis of competitive bids or negotiation. Agency contracts are approved by the State Office of Purchasing and Travel (OPT) and may last for up to five years. The agency contract must be approved by OPT prior to any purchases being made.

    Agency contracts are used when requesting authority to purchase commodities under the following conditions:

    1. Purchases for commodities that will regularly exceed $5000 per day and are available from only one source.
    2. Purchases for commodities that will regularly exceed $5000 per day and are not covered by an existing UHC, Medassets, or State contracts.

    The request for an Agency contract originates in the UMMC Purchasing Department. Requests are submitted to the Office of Purchasing and Travel with the appropriate documentation. If approval is granted, the Office of Purchasing and Travel assigns an identification number. Upon receipt of the approval from OPT, the UMMC Purchasing Department issues the Purchase Order.
