Terminations
A Personnel Action (PA) to terminate is the proper authorization to terminate an employee. The effective date of the PA is the last day worked by the employee. An employee must be present on the last date of employment.
Once terminated, an employee will be paid his/her final leave balance up to a maximum of 240 hours. Any accrued personal leave in excess of 240 hours or any unused medical leave can be counted as creditable service for retirement system purposes.
Nonexempt hourly employees
Final personal leave can be calculated only after an employee is paid for all hours worked through the regular biweekly payroll schedule AND after the accrual for the final month has been processed. The terminal leave can normally be paid on the biweekly pay date following the processing of the prior month's leave accruals, provided all paperwork has been completed. Final leave balances are usually paid with the second biweekly payroll of the month following the month of termination. A biweekly employee is paid for termination leave at the regular shift rate.
Salaried employees
Termination PARs on salaried employees should be processed by Human Resources prior to the last worked payroll date. If the termination papers have not been completed by this time, an e-mail should be forwarded to the Payroll office for notification purposes.
For a salaried employee, any leave taken should be recorded prior to the employee's last day through the online exempt leave time entry system.
The final leave check can normally be paid on the biweekly pay date following the processing of the prior month's leave accruals, provided all paperwork has been completed through Human Resources.
