  • Calculation of Earnings for Non-Exempt Biweekly Employees

    The current and legal minimum wage amount used at the University of Mississippi Medical Center is $7.25 per hour effective July 24, 2009.

    The total work hours in a year are 2,080. (8 hours per day x 5 days per week x 52 weeks per year = 2,080) Biweekly employees are paid according to the hours submitted through Kronos Desktop or Kronos Time clocks.

    Each of the 26 pay periods for the year begin on a Sunday (Saturday-night third shift) and end two weeks later on a Saturday (end of second shift).

    Biweekly employees are paid on the 6th day after the close of a pay period (every other Friday; 26 paychecks per calendar year).

    Pay codes

    The hours submitted for biweekly employees are assigned pay codes associated with his/her shift to determine overtime pay calculations. These are some of the basic pay codes used:

    Shifts

    Employees are eligible for shift pay differentials for worked time at least four hours into the next shift. Shift pay differentials are not paid for non-worked time. Example: An employee regularly scheduled to work an 11 p.m.-7 a.m. shift, in an area eligible for shift differential, will not be paid the shift differential when personal time is taken. (Non-worked time is paid at base rate.)

    Part-time or full-time non-exempt hourly employees working a minimum of four consecutive hours between the hours of 3 p.m. and 7 a.m. will receive differential pay for all hours worked if within those job categories.

    Furthermore, nonexempt employees within those job categories "called back" to work or beginning work at 3 p.m. or after, and leaving work prior to 7 a.m. the following morning will receive differential for all hours worked. Employees working normal 8 a.m.-4:30 p.m. or 5 p.m. office hours and asked occasionally to continue to work after normal hours will not receive differential pay for hours worked. Three shifts may be used to record a biweekly employee's time during a 24-hour period.

    • Regular (Pay code 101) - An employee is paid his base rate for hours worked from 7 a.m.-3 p.m.
    • Differential (Pay code 102) - An employee is paid 110% of his base rate for hours worked from 3-11 p.m.
    • Third (Pay code 103) - An employee is paid at 115% of his base rate for hours worked from 11 p.m.-7 a.m.

    Weekend bonus differential pay is available for certain approved job codes for RNs and LPNs. It increases the employee's base pay rate by 10% as premium pay for any and all hours worked beginning with the evening shift at 3 p.m. Friday through the Sunday night shift which ends at 7 a.m. Monday. The normal shift rate is increased by 10% only on worked hours.

    Employees who qualify for the weekend differential are all employees in occupational codes (listed below).

    Time entry

    Non-exempt employees record all of their worked hours and leave hours through the Kronos system. Employees are set up and trained in Kronos as part of their hiring and orientation process.

    • Call pay must be entered through Kronos and can be entered either for a shift or per hour.
    • Call pay per shift is paid at the usual rate of $15 per shift.
    • Call pay per hour is paid at the rate of $3 per hour and is available to only to the following approved job codes: 3425, 3427-3431, 3433, 3443-3446, 3448, 3503-3505, 3520, 3521, 4283 and 4377-4380.

    Department summary

    The timekeeper / supervisor should analyze their employees' time daily and review all time entered for employees within the department before the time entry cutoff times, which are 11 a.m.. for Kronos and 10 a.m. for Web time entry. The timekeeper/ supervisor must approve and sign off in Kronos for the time entered for their employees.  Unapproved time is not submitted to payroll for processing.
